Prioritizing Your Work For Productivity

One of the best ways to improve your productivity is to prioritize your work.  But if you’re new to goal setting and time management, it can be tough to know how to do this.  Read on for tips on how to prioritize your work and get the most out of your time.

Brainstorm. 

The first thing you should do is make a list of everything that needs to get done.  This includes tasks for clients, tasks for yourself, and other tasks that need to get done to further your work.  Exhaust every piece of work you think you need to do.

Determine Time-Sensitivity. 

Some tasks need to be done urgently while other tasks aren’t as time-sensitive.  Take the list you brainstormed and divide the tasks into two categories – urgent vs. not urgent.  Urgent things are those that are related to deadlines.

Determine Importance. 

In addition to knowing what’s important time-wise, it’s also important to look at the importance of each task.  A task is important if it supports the overall vision of your business and supports bigger goals and priorities. 

Some tasks are not as important, but need to get done.  And you may even find there are tasks that aren’t really that important at all and can be deleted from the list.  Rank both the urgent and not urgent lists by importance.

Know Your Limits. 

You can become overwhelmed if you give yourself an unrealistic number of tasks to complete.  Be realistic about what you can accomplish in a given amount of time.  Overloading your to do list can cause you to become paralyzed and get less done.

Set Time Limits for Tasks. 

If you tend to spend too much time on a task seeking perfection, you need to give yourself time limits so that you won’t focus on one thing for too long while neglecting other tasks.  That may mean throwing some of your perfectionism out the window.

Set Deadlines. 

When you feel like you have all the time in the world to complete a project, you’re less likely to get it done in a reasonable amount of time.  Set deadlines so that you can be motivated to finish in less time and get more done.

Allow Time for Personal Projects. 

Sometimes you’ll find there are things you want to do for your business that aren’t necessarily critical at the time.  Don’t forget to give yourself the time to work on projects you enjoy.  When you feel fulfilled and happy you’ll be more productive.

When you learn how to prioritize your work you’ll know which tasks need to be done right away and which ones can wait.  In the end you’ll get more done and you’ll feel better about the work that you do.

Four Steps To Bounce Back From Burnout

Burnout is a dangerous condition that can affect you both physically and mentally. If you’ve recently discovered you are suffering from burnout, you may be wondering just how you can overcome it. Unfortunately, overcoming burnout isn’t easy, but there are several things you can do to help yourself bounce back.

1. Take A Break

This one is the most important. If you are feeling burned out, stop what you are doing. This doesn’t mean you have to call it quits permanently. Take a break and step back. Take a few days or weeks, or maybe even months, off. Once you overcome your burnout, you will be able to think creatively again, and then you may see an answer to the problem you were facing—the answer you may not have been able to see before because you were too burned out.

2. Invest In Self Care

After you have taken a step back from whatever was causing your burnout, it’s time to focus on self-care. Of course, self-care looks different to everyone, so you need to invest in the self-care that you need. Some self-care activities that may help you are meditation, a spa day, exercise, eating healthy, more sleep, relaxation, and engaging in a hobby you love.

3. Work Through Your Emotions

In general, burnout doesn’t happen without emotional influence. And your emotional influence comes from within, so it is now time to deal with your emotions and discover just what led to you feeling burned out. This can be done by journaling, making a list of what you are grateful for, and creating positive affirmations for yourself. You can also work on changing your emotional responses to certain stimuli, so if you find yourself in a similar situation in the future, you will be able to bring yourself to a different end.

4. Try Again

This doesn’t mean you go back to your same issue which caused your burnout before. This means you use your creativity to find a new way to do things. If your trying again includes a new job or venture, that’s fine! Your trying again could include going back to the same profession but switching companies. Either way, this step is entirely up to you, and you need to do what is best for you.

Bouncing back from burnout can be difficult, but if you step away from the problem, take care of yourself, and work on your emotions, you may find escaping the burnout loop is easier than you thought. And once the feelings of burnout are gone, you’ll be able to think enough to try again or try something new for your life.

You hear all the time that you or your company needs to be more efficient. But, do you know how to accomplish that? Efficiency seems like a word that is thrown at as the end-all be-all answer to problems within an organization. Without a proper plan, the likely result will be confusion and chaos. The following tips can help you when you are given the initiative to be more efficient.

Time Management

If you and your team are not managing your time efficiently, you are going to find it hard to move the company forward. The team will constantly be missing deadlines and playing catch up. This makes the group look bad and causes undue stress on the team. The likely result will be high turnover at times when team members are needed the most.

Learning

Always be on the lookout for how to improve your job or your teams’ jobs. This often requires learning new skills. The more you learn, the easier it will be to find alternative methods that work better.

Organization

If your office environment is cluttered and there is no sense of organization, it can impact the productivity of the entire group. There are professionals who can assess your current situation and make recommendations on how to improve the environment. This can include such aspects as desk clutter, filing, and even ergonomic issues and proper placement of fixtures or furniture.

Automation

When you find ways to automate, this frees up your staff to work on more important tasks. Mundane tasks that eat away the time of your staff are the best candidates for automation. It is possible to go overboard with automation which can cause slowdowns when the automation processes fail. Try to determine the best tasks to automate without overdoing it.

Delegate

If you are micromanaging the work of your team, you won’t have time to handle your own tasks. Your team won’t respect the fact that you are doing tasks that they should be doing. You hired them for a reason. Let them get their jobs done. It’s okay for them to come to you when they get stuck. But, you should guide them rather than simply doing everything for them.

Outsource

With corporate cutbacks, delegating may not be easy to accomplish. Companies are expecting their employees to do more with less. But, managers still need to get their work done. In such cases, it may be worthwhile to consider outsourcing some of the tasks of your team. The benefits of outsourcing are that it does not increase the company’s headcount.

Why Is Burnout So Dangerous?

In this day and age, it’s very common to find yourself facing a possible burnout situation. You may be wondering why this would matter if it truly is so common. This matters because the state of being burned out can be quite dangerous.

Chronic Stress

When you are burned out or on the brink of burnout, your body is operating in a state of chronic stress. This means you are constantly in the ‘fight or flight mode. And this is very bad because, according to MayoClinic, keeping your body exposed to this chronic stress all the time can lead to long-term damage. These long-term damages aren’t just mental like depression or anxiety. They can also be physical and include digestive problems, headaches, and even heart disease.

Alienation From Friends And Family

Besides just damaging your body and causing problems in your personal life, burnout can damage your relationships with others. This is because, in your state of chronic exhaustion, you may find yourself irritated at people who you used to enjoy being around. You may also find that you lash out at these people in anger over the smallest things. Either of these events may lead to you losing friends or connections with important people in your life.

Performance

Not only does burnout hurt you and your relationships with others, but it will also destroy your work performance. This could be especially deadly if you are in a job where the lives of others rely on your performance—such as a long-distance truck driver or a pilot. If you fail to notice the signs of burnout in your life and how it impedes your performance, you could make a mistake that could be fatal to others. Even if you aren’t in a job where your declining performance would affect others, it can always impact your life and your future with a particular company.

Burnout is dangerous because not only does it damage you, those around you, and your job, but it also is a difficult cycle to climb out of once you are sucked into it. This is why you should always try everything in your power to watch for the signs of burnout and put a stop to it before it can cause damage to your life.

Is Burnout Real?

If a friend, or maybe an employee, has recently come to you complaining about a condition known as burnout, you may be wondering if this is a real condition or not. The answer is that burnout is real! And it certainly isn’t as easy to solve as some doubters of the condition may lead you to believe.

Burnout Is Not Just “Stress”

People who argue that burnout isn’t real will try to explain the feelings associated with burnout as just simple stress. This couldn’t be further from the truth. Yes, chronic stress is a condition related to burnout. But while stress can go away on its own, burnout is a very complicated condition that won’t just “go away” one day. Rather it will likely take action, and a lifestyle change, to fully remedy it, and you can’t fix it by just taking a day off. Rather it will need a broader approach to address the systematic problems which are causing it.

Burnout Doesn’t Just Happen One Day

Another thing the skeptics will have you believe is that burnout just happens one day. But this isn’t true at all. Burnout isn’t something you just wake up with one day. Rather, it is something that occurs over a long period. Burnout formulates over years of having too heavy of a workload, too much stress, and little or no reward.

Burnout Causes Real Damage

Another thing about burnout that makes it a real condition is that it has the power to do some serious damage to the body if it is left untreated. Not only can it lead to mental issues such as depression, anxiety, and panic attacks, but it can also lead to physical issues. While they can start as something simple such as headaches, these physical issues can quickly escalate to cause lasting damage to the body’s digestive system, nervous system, and even the heart.

There are many skeptics out there who doubt that the condition of burnout is real. This is probably only because they haven’t experienced it for themselves and can’t imagine the difficulty of a condition like burnout. Burnout is real. It isn’t stress, it doesn’t happen overnight, and it does cause real damage. This is why it is important to ensure you take all the steps you can to avoid burnout.

How Productive People Think

If you want to become more productive, it helps to understand how productive people think.  Even if this way of thinking doesn’t come naturally to you, you can adopt these principles and apply them to your own work life.

Priorities matter. 

People who are the most productive are clear about their priorities.  They know that some things are more important than others and they’re able to attack the most important things first.

If this isn’t your usual habit, start each day by making a list of tasks and placing them in order of priority.  This will help you to get the most important things done first and even help you to eliminate tasks that really aren’t necessary.

Understanding priorities also makes it easy to delegate tasks and avoid things that might take away from reaching goals.

Plan for success. 

Productive people generally make a plan.  They may schedule their next day at the end of the current work day.  This makes it easy to jump right into work the next day without having to take time to decide what’s next on the list.

Eliminate time wasters. 

There are many things throughout the day that could threaten to take away from productivity.  Productive people know how to put those time-wasters on the back burner and stick to the important work.

It could be social media, chatty coworkers, emails, text messages, phone calls, or reading online news that prevents you from getting business done.  Set those things aside and schedule a specific time when you’ll allow yourself to participate in those things.

Take responsibility. 

People who are productive are happy to take responsibility for both their successes and their failures.  Rather than looking to point the finger at someone else, they make sure to stay accountable for their work.

Learn from mistakes. 

When you’re working to be more productive, it helps to understand that mistakes are learning tools.  Productive people are aware that they will make mistakes but they look to learn from them instead of letting mistakes throw them off course or cause them to quit.

Use Efficient tools. 

Productive people also know it’s important to have the right tools to do the job.  That means having a high quality computer, the proper software and even the right desk setup.  When you have what you need in your workspace, it helps you to get more done.

Think about your own productivity levels.  Where can you make changes in your mindset to become more productive?  Small changes can lead to big results.

What Is Burnout?

Burnout is more than just stress. It’s more than just being tired, or being bored.

Are you feeling emotionally, physically, and mentally drained? Does nothing you do seem to help the feelings go away? It’s possible that what you are experiencing is a condition known as burnout.

What Causes Burnout?

According to Psychology Today, the condition of burnout is far more than simply being overworked. Rather, it is a result of working long hours combined with feelings of cynicism and depression. These negative feelings usually result when an individual is in a job where they feel they are out of control of the situation. Either that, or it places them in situations where they may be asked to complete tasks that go against their worldview.

People can also feel burned out due to working towards a goal that they don’t agree with. Or if they feel they lack support as they work towards a specific goal.

How Do You Know If You Are Burned Out?

If you drive or walk to work every day with a sense of dread, this is a sure sign of burnout. If you feel cynicism, anger, or irritability towards your job or others, this is another sign you may be becoming burned out. You will often notice you are burned out when feelings of depression, dissatisfaction, and cynicism don’t go away for an extended period. You may also begin to have other physical or mental health problems such as headaches, fatigue, heartburn, and other gastrointestinal symptoms.

Burnout vs. Stress

It’s important to differentiate between regular stress having to do with work and the state of being burned out. Stress is usually temporary and easily remedied. Burnout is a long-lasting condition that may need the help of a professional to treat.

Stress is usually short-lived or tied to a specific goal. And when that goal is accomplished, the stress usually goes away. On the other hand, burnout is an extended period of stress accompanied by emotional changes. Regular stress, on its own, is not harmful. Burnout is damaging to both the individual who feels the burnout and those involved in that individual’s life. Overall, burnout is a very dangerous period of extended stress or dissatisfaction with your job or home life. And if left untreated, burnout can lead to a host of other problems in your life. This is why you should learn to recognize the early signs of burnout and make changes in your life before it’s too late.
